By the numbers
The challenge
Government teams coordinated work over chat and email, and other offices had no formal way to request things. Nobody knew who was overloaded, which projects were late, or where each request stood.
What I built
- Projects with Kanban, List, Table and GitHub views; configurable stages and Excel export.
- Built-in AI (MiniMax-M3) that turns a whiteboard or free text into tasks with subtasks, recommends who should take a request and diagnoses team workload.
- Real-time collaborative whiteboards on Excalidraw, with Mermaid-to-diagram conversion.
- Team sprints, per-person workload scoring and at-risk task indicators.
- Public request form with tracking code, plus a global inbox that suggests the least-loaded assignee.
- Multi-tenant with database-driven RBAC: 43 permissions, per-company roles and configurable menus.
- In-app, WebSocket, email, push (PWA) and Telegram notifications, processed on Redis queues.
Outcome
Used daily at the Magdalena Government: 12+ active projects and hundreds of office requests routed through the platform, with real-time visibility into each team's workload.
Modules
Artificial intelligence
Improves text, generates subtasks, suggests technologies, analyzes whiteboards, generates diagrams, turns whiteboards into tasks, diagnoses workload, recommends assignees and summarizes threads.
Collaborative whiteboards
Per-project Excalidraw with simultaneous real-time editing (presence channels), thumbnails and Mermaid-to-diagram.
Projects & tasks
Drag-and-drop Kanban, list, table and grid. Subtasks, multiple assignees, mentions, attachments, approval flow and automatic "At risk" flag.
GitHub integration
Connect or create repositories, browse commits, branches and PRs, link commits to tasks and receive webhooks.
Scrum & teams
Team board grouping tasks from all the team's projects by sprint; opening a sprint closes the previous one.
Workload
Per-person occupancy score based on priority and due dates, 4-level indicator, team comparison and AI diagnosis.
External requests
Public form per organization, status lookup by code, global inbox with suggested assignee and request-to-project conversion.
Reports
Project, task and request reports at personal, team or company level, with charts and PDF export.
Community
Real-time chat channels and a help forum with topics, threads, images and read receipts.
Document templates
Document explorer on a Google Drive shared drive: upload, move, rename and preview without granting Drive access.
Roles & permissions
Database RBAC with global, team or no scope; per-company roles and permission-filtered menus.
Notifications
In-app, WebSockets, email, FCM push with PWA and Telegram, on Redis queues.
